Fax Broadcasting Guide
When embarking upon a fax broadcast it is important to ensure a professional look to your message. Here are a few tips to make your faxes more professional and effective.
Keep it snappy: Send broadcasts that promote a sense of urgency - special pricing information, limited time offers or relevant press releases.
Keep it short: People don't like page after page of information tying up their fax machine and seldom read more than one page.
Keep it interesting: Offer your audience what they need and encourage them to contact you for further details.
Keep it simple: Complicated images that look good on screen or laser printer rarely retain such a level of clarity once faxed and can make a fax look messy or overcrowded. Use clean line fonts that can be easily read and transmitted clearly on a fax machine.
Keep it consistent: Using a variety of fonts can make your message difficult to read. Use the same font throughout to give a consistent feel to the document, varying the size or apply bold effects to emphasise important information.
Keep it error free: Always proof read anything you are going to send, be vigilant and then get someone else to check it over as well. Even the smallest of typos can lose credibility with potential customers and you get one chance to make a first impression.
Broadcast document
The two most obvious aspects to your fax broadcast will be your document for transmission and your data to broadcast it to.
We can accept your fax document in a variety of different formats. The formats that can be accepted are...
Microsoft Word, Microsoft Powerpoint, Microsoft Excel, Corel Draw, TIFF and Adobe Acrobat.
Microsoft word is by far the most versatile as it allows us to easily manipulate your fax for you and make any changes you wish to do so. However there are restrictions on the document format if you wish to using mail merging (please call to check)
The simplest and most effective advice we can give you is to keep your document black and white and to size it to A4. Try and avoid grey scale and colour images as the transmission duration can be severely elongated if your document contains such images. This is not to say that you shouldn't use pictures or photographs but convert them to monochrome images, as these generally transmit quicker without loosing the effect of your document. Remember fax machines are not like the laser printer you have in the office. Most fax machines will print at 200dpi (dots per inch) as opposed to the standard laserjet printer that prints out at 600dpi. If you are in any doubt, take a look at some of the faxes your company will receive.
Don't have a document?
Don't worry about this either, we can put together a fax document for you. We can work with you and your existing material, website or your fresh ideas. Speak to one of our staff for more information.
Transmissions
Our aim is to ensure all fax pages transmit within 60 seconds. This way we can maintain extremely low rates, this is where the amount of grey scale and photographs can be detrimental. We run some testing processes to make your transmission time per fax as low as possible, we can tweak your fax to optimise it's graphics and then test it thoroughly until you are happy with the result.
Personalisation is available. You can add contacts or address information to your faxes if you wish. Personalisation can also be used for offer codes or to monitor response from different geographical areas or industry groups. Speak to a sales representative for more information.
